1. Hỏi khách cần sản phẩm gì
2. Lấy các thông tin quan trọng
3. Xác nhận lại yêu cầu
4. Chuyển sang bước báo giá
Các thông tin quan trọng thường bao gồm:
- loại tôm;
- tôm sống hay tôm đông lạnh;
- kích cỡ;
- số lượng;
- quy cách đóng gói;
- cảng đến;
- thời gian giao hàng.
Khi đã có đủ thông tin, người bán có thể kiểm tra khả năng cung cấp và chuẩn bị báo giá.
A buyer asks for frozen shrimp
Imagine that you work for a seafood company in Vietnam.
A buyer from Australia sends this message:
Hello. We are interested in importing frozen shrimp from Vietnam.
Could you tell us what products you can offer?
A simple first reply could be:
Thank you for your inquiry.
We supply frozen black tiger shrimp and vannamei shrimp.
What type of shrimp are you looking for?
The buyer replies:
We are interested in peeled frozen vannamei shrimp.
Now you know the main product, but you still need more details.
You can ask:
What size do you need?
What quantity do you need?
What packaging do you prefer?
What is the destination port?
These questions help you understand the buyer's requirements before you discuss the final price.
Do not guess when information is unclear
Sometimes a buyer gives incomplete information.
For example:
We want small bags.
"Small bags" is not clear enough.
You can ask:
Could you confirm the packaging size?
The buyer may then say:
We need 1 kg bags, 10 bags per carton.
Another buyer may say:
We need about 500.
You should not guess whether this means 500 kilograms, 500 boxes, or 500 tonnes.
Ask:
Could you confirm the quantity?
Clear questions help prevent expensive mistakes.
Confirm the full requirement
Before preparing a quotation, repeat the important information.
For example:
So, you need peeled frozen vannamei shrimp, size 21/25, 500 kg, packed in 1 kg bags, correct?
The buyer can then confirm or correct the information.
This is useful because seafood orders can include many details.
A mistake in size, quantity, packaging, or destination can create problems later.
The next step: check availability
After confirming the buyer's requirements, you may need to check whether the product is currently available.
You can say:
Let me check the availability for you.
Availability means whether the product is ready or can be supplied at the required time.
For example, a buyer may want 500 kg of a particular shrimp size, but your company may not have that size ready today.
It is better to check than to promise something you cannot supply.
Ask about lead time
The buyer may also ask:
What is your lead time?
Lead time is the time needed to prepare the order before shipment or delivery.
If you know the answer, you can say:
The lead time is approximately seven days after order confirmation.
If you do not know, do not invent an answer.
Say:
I need to check the lead time and confirm it with you.
This is professional and clear.
Payment terms
Before a final order, the buyer may also ask about payment terms.
Payment terms explain when and how the buyer will pay.
For example, a buyer may ask:
What are your payment terms?
If you are not responsible for this information, you can say:
I will check our payment terms and include them in the quotation.
You do not need to know every answer immediately.
A good salesperson knows when to ask, when to confirm, and when to check information.
Example conversation
Buyer: Hello. We are looking for frozen shrimp from Vietnam.
Supplier: Thank you for your inquiry. We supply frozen black tiger shrimp and vannamei shrimp. What type of shrimp do you need?
Buyer: Peeled frozen vannamei.
Supplier: Certainly. What size do you need?
Buyer: 21/25.
Supplier: What quantity do you need?
Buyer: 500 kg.
Supplier: What packaging do you prefer?
Buyer: 1 kg bags, 10 bags per carton.
Supplier: Thank you. What is the destination port?
Buyer: Melbourne.
Supplier: So, you need peeled frozen vannamei shrimp, size 21/25, 500 kg, packed in 1 kg bags, for Melbourne, correct?
Buyer: Yes, that's correct. Is the product available now?
Supplier: Let me check the availability for you.
Buyer: What is your lead time?
Supplier: I need to check the lead time and confirm it with you.
Buyer: Okay. What are your payment terms?
Supplier: I will include the payment terms in the quotation.
Buyer: Great. Please send the quotation to my email.
Supplier: Certainly. Could you confirm your email address?
What is new in this lesson?
You already know how to:
- introduce shrimp products;
- ask about size;
- ask about quantity;
- ask about packaging;
- ask for the destination port;
- confirm the buyer's requirements;
- prepare a quotation.
Now you are adding three useful ideas:
availability — Can we supply the product now?
lead time — How long do we need to prepare the order?
payment terms — When and how will the buyer pay?
These three ideas help you move from a simple inquiry to a more complete business conversation.
Useful speaking pattern
A simple conversation can follow this order:
PRODUCT → DETAILS → CONFIRM → CHECK → QUOTATION
For example:
What type of shrimp do you need?
What quantity do you need?
So, you need 500 kg in 1 kg bags, correct?
Let me check the availability and lead time.
We can then prepare a quotation for you.
Try it yourself
Imagine a buyer says:
Hello. We need peeled frozen shrimp for our restaurant supply business in Singapore. We would like 1 kg bags. Please send us your price.
Before giving a price, think about what information is still missing.
You may need to ask:
What type of shrimp do you need?
What size do you need?
What quantity do you need?
Could you confirm the destination port?
Then you can confirm the information and move to the quotation.
Remember
A good salesperson does not need to know every answer immediately.
A good salesperson should:
ask clearly → confirm carefully → check unknown information → reply professionally
